Open this website on your device and select the meeting room above. When prompted, choose Join in app. Jitsi will open the correct room automatically.

Start here

This guide follows the same order most members will experience: open the Club room, allow devices, enter your name, check audio/video, join the meeting, then use the main toolbar once you are inside.

Quick join Overview

On your first time joining a meeting, you may need to go through the below steps to confirm youre device is setup correctly. Most users will find the way our meeting platform works is the same as other applications they have used and work in much the same way (ie. Microsoft Teams, Zoom etc).

Timing: rooms normally open about 10–15 minutes before the advertised start time. If you arrive early, just wait in the lobby. Once the host starts the meeting, they will admit you, or you can go straight in if you use the member PIN.

Step 1 — First time only: allow your microphone and camera

If this is your first visit, your browser may display a permissions window before you join. This is normal. Without permission, Jitsi will not be able to use your microphone or camera.

What to do on the permissions window

  • Allow while visiting the site is the simplest option for regular members using their own computer.
  • Allow this time is useful on a shared or temporary computer.
  • Never allow will block your microphone and camera until you change the site permissions later.
  • If your browser shows microphone or camera dropdowns in the prompt, pick the device you want Jitsi to use.
  • If you accidentally deny access, re-open the browser's site permissions and allow microphone/camera, then refresh the page.

Step 2 — Before joining: enter your name and check your devices

After allowing permissions, you will usually see the pre-join screen. This is where you identify yourself and confirm your microphone, camera and other device options before entering the room.

Name field

Enter a name the host will recognise, such as VK4WIP Clubroom, VK4WIP or your name if you do not have a callsign.

Join meeting button

When your name and devices are ready, click this button to enter the room or move into the lobby.

Microphone button + small arrow

Use the main microphone icon to mute/unmute. The small arrow above it opens extra options, including microphone selection where available.

Camera button + small arrow

Turn your camera on or off. The small arrow above the camera button can expose extra camera options or selection.

Settings icon

Open Settings to choose audio and video devices in more detail. This is the best place to confirm the correct speaker output device.

Device status

The green message confirms Jitsi believes your devices are working properly. If you do not see this, review permissions and device selection.

Step 3 — Open settings and confirm your audio output

One of the most useful checks is confirming that the meeting audio will play through the right speakers or headset. Use the settings window to choose your microphone and audio output device.

Select the microphone you want to use. Speak normally and check the activity meter to confirm Jitsi is receiving sound.

Select the speakers, headphones or headset where you want to hear the meeting. This is especially important if multiple audio devices are connected.

Test button

Use the Test button to confirm that sound is actually coming from the selected output device before you join or while troubleshooting.

Video tab

If you need to change cameras, use the Video section in the settings menu.

Save and continue

Click OK after making changes, then return to the pre-join screen or meeting.

Step 4 — Once you are in the meeting

After joining, you will see the main meeting view with the control toolbar along the bottom. This is where you mute/unmute, control your camera, chat, raise your hand and access more actions.

Hover your mouse over this window to show the bottom bar as it will auto hide after a while.
Extra device menus: if you see a small arrow above a toolbar button, click it to open additional options for that feature. This is commonly used for device selection and related controls.

Microphone

Mutes or unmutes your microphone. Keep yourself muted when not speaking to reduce background noise.

Camera

Turns your camera on or off. A crossed-out camera means your video is currently disabled.

Share screen / presentation

Lets you share your screen, a specific application window or a browser tab when presenting material.

Chat

Opens the text chat panel for links, notes, quick questions and written messages.

Raise hand

Signals to the host and other participants that you would like to speak.

Participants / people controls

Shows the participant list and related people controls available to your meeting role.

Tile view / layout

Changes how participants are displayed, such as tiled view versus the active-speaker style layout.


Click this to show all participants the same size, or show the Club Camera and participants to the side.

Invite / add people

Used to copy the meeting link or invite additional authorised participants when appropriate.

More actions

Contains extra options such as settings, reactions and additional meeting features that do not fit on the main bar.

Leave meeting

Disconnects you from the meeting. If you leave by mistake, return to this landing page and join again.

Phone and tablet notes

The room is the same on mobile devices, but the controls are optimised for touch and some actions may be inside the More actions menu.

Joining from the Jitsi Meet app

  • Open this website on your phone or tablet and tap the meeting room you want.
  • Choose Join in app when prompted.
  • Allow microphone and camera permissions when your device asks.
  • Enter your callsign/name and continue just as you would on desktop.

What is different on mobile

  • If the toolbar disappears, tap the screen once to show it again.
  • Audio routing is usually controlled by the device and may switch between speaker, earpiece, wired headset or Bluetooth.
  • Some extra options are hidden under the button to save screen space.
  • If you are in the same room as another participant, use headphones to prevent echo.

I am waiting, but the meeting has not started yet

This is normal if you join early. Rooms usually open 10–15 minutes before the start time. Stay on the page or in the lobby until the host opens the meeting and admits participants.

Nobody can hear me
  • Check that your microphone icon is not muted.
  • Confirm the correct microphone is selected in settings.
  • Check browser or app permissions for microphone access.
  • If using a headset, confirm it is not muted physically or in Windows/macOS.
I cannot hear the meeting
  • Open Settings → Audio and confirm the correct Audio output device.
  • Use the Test button to verify the selected output device.
  • Check your computer or device volume and any headset volume control.
My camera is not working
  • Make sure camera permission has been allowed.
  • Use the camera arrow or settings window to select the correct camera.
  • Close other applications such as Zoom or Teams if they may already be using the camera.
I am stuck in the lobby

If you did not enter the meeting PIN, remain in the lobby and the host will admit you once the meeting is open. If you are a member and have the current meeting PIN, entering it will normally let you join immediately once the room is open.

Can I join without a camera?

Yes. You can join with the camera turned off and participate using audio only. Many members do this when bandwidth is limited or if they prefer not to use video.
